How to Write a Document Version Note
“Updated version attached” forces every reviewer to compare files manually. A version note should explain the meaningful changes and prevent an older copy from returning later.
Name The Authoritative Copy
Start with a precise identifier:
Attached is Policy_Draft_v4_2026-07-17.pdf. This replaces v3 as the current review copy.
Use the same version in the filename, document title, and message. Avoid names such as final-final-2.pdf.
Summarize Changes By Section
List changes that affect review or approval:
Changes since v3:
- Section 2: added contractors to the access scope
- Section 4: changed the review period from 12 to 6 months
- Appendix A: corrected the support contact
Do not list formatting cleanup unless it matters to the reviewer.
Mark Open Items
Separate changes already made from decisions still pending:
Open: legal approval of the retention period in section 5.
