How to Write a Client Approval Request

An approval request should make “yes” easy and make revisions specific. Sending a file with “thoughts?” creates an open-ended review and an open-ended schedule.

Say Exactly What Is Ready

Name the document, version, and review scope:

Attached is proposal v3, updated with the agreed implementation schedule and pricing. Please review sections 2 and 4; the legal terms are unchanged from v2.

This prevents the client from spending time on parts that are already settled.

Offer Two Clear Responses

Explain how to approve and how to request changes:

To approve, reply “Approved” by 23 July at 16:00. For revisions, add comments to the PDF and return it by the same deadline.

Explain The Real Schedule Effect

Do not manufacture urgency. State the actual dependency:
